Answers to questions you may have – administrator information

Why are you swapping to MasterCard?

Although we continue to offer both Visa and MasterCard products, we think your programme is best suited to the services and benefits of our MasterCard product.

I don’t want to move to MasterCard, can we keep Visa?

Whilst we understand some customers may prefer to keep their Visa card, we think that MasterCard provides a better solution for your card programme. That’s why we’re moving it across to MasterCard.

Can I choose when the change will take place?

We’ve carefully selected the most suitable transfer date for you. This is to minimise disruption to your account and any payments you usually make.

I have a cardholder who is travelling abroad on business in the near future and may not receive their MasterCard in time. Will they be able to use their Visa card instead?

Their Visa card will be cancelled shortly after the MasterCard has been delivered, so if your cardholder travels abroad, please make sure they have an alternative payment method.

I’ve received a letter saying that all of the cards my organisation has will be replaced – will each cardholder also receive a letter?

Yes, each cardholder will receive a letter with their replacement card. It’ll contain detailed information about how they’ll be affected, like their Visa card being deactivated shortly after they receive their MasterCard. We recommend you let your cardholders know that they’ll be receiving a new card before it arrives.

I have an overall credit limit for my company. Will this need to be increased to accommodate the replacement cards?

No, to keep the move as simple as possible for you, we’ll make sure your credit limits don’t change when you move to MasterCard.

Where will replacement cards be delivered to?

Will my cardholders receive new PINs?

No, the PIN will be the same as the PIN on their Visa card.

What actions will my cardholders need to take?

We’ve made sure there’s very little that you and your cardholders need to do. We’ve included the instructions and important information in the letter that comes with their card, such as how they should:

  • start using their MasterCard immediately as their Visa card will be deactivated shortly after the MasterCard arrives
  • update their details with any supplier that has their card details stored.

Will my Direct Debit payment change?

Only the reference number will change, but you won’t need to do anything to make this happen. We’ll let your bank know the updated Direct Debit reference number so that payments go through smoothly. In addition, we’ll send you a letter to let you know your new reference number.

Will I need to change bank transfers or online payments?

Any payments received on the old account(s) number will be automatically applied to the new one. However, you should change the 16-digit company reference number of the payment to the new company one. You’ll find this on your statement, just above the new card number.

Will my fees and charges change?

No, there will be no changes to your fees and charges.

Will my statement date remain the same?

Yes, we’ve made sure your statement date is the same.

Will the settlement period remain the same?

Yes, there are no changes to your settlement period.

I receive copies of the cardholders’ statements – will these look any different?

We’ve kept your statements as similar as possible, but there are a couple of differences:

  • the company reference number and card number details have changed. These now begin with a five instead of a four
  • if you have a purchasing card programme, the line item information won’t appear on the statement. However, you can view and report on this information in the new online servicing tool – Barclaycard Commercial online servicing.

Will my old statements and transactions be in the new online servicing tool?

No. After you move to MasterCard, your statements and transactions will load onto Barclaycard Commercial online servicing. But your old Visa statements and transactions are only available in the existing online servicing tool.

How do I get access to Barclaycard Commercial online servicing?

We’ve sent a letter to the company account administrator asking them for their up to date contact details, including a company email address. If they haven’t provided this, they’ll need to contact us on 0800 008 008 before they can get access.

We have an embedded card lodged with a Travel Management Company (TMC) or Supplier. Do I need to tell them the new details?

Yes, you’ll need to let any suppliers or online merchants that store your card details know that they’ve changed.

I have a Travel Management Account. Does my Travel Management Company (TMC) need to do anything because of this change?

We’ll have already verified that your TMC is enabled with MasterCard. You’ll need to inform your TMC of the new details and ask them to include the data in their existing MasterCard feed.

Can I get reports that are accredited for HRMC as my evidence of VAT paid?

Yes, through Barclaycard Commercial online servicing you can download reports detailing transactions that qualify as evidence of VAT. Once you’re logged into the application, click on ‘Reports’ then ‘Schedule Report’ and choose:

  • UK Summary VAT Report
  • UK LID VAT Report

Will the same merchant provide electronic invoice data on MasterCard as it does on Visa?

There are only minor differences between the merchants that provide electronic invoice data between the two card schemes.

Will I retain my VCF4 file?

No, the VCF4 will be replaced with an alternative. If we have a VCF we’ll contact you before you receive your new cards to make alternative arrangements.

Will I be able to run the same reports/mappers I do in my existing online services?

Barclaycard Commercial online servicing offers enhanced reporting and mappers options – giving you more flexibility to extract data in a variety of formats. However, there may be some slight differences in field formatting compared to the old system.

I’ve received a replacement card, what do I need to do to activate it?

Nothing, your card will be activated and ready to use when it arrives. In the meantime, cut through the chip of your Visa card and dispose of it securely.

Can I keep both cards?

No, your Visa card will be deactivated shortly after you’ve received your new MasterCard. You should start using your MasterCard as soon as possible and destroy your Visa card securely.

Will I need a new PIN?

No, your old PIN will work. If you’ve forgotten it or need a reminder, please contact us on 0800 008 008.

My Visa card was registered for Verified by Visa. Will these details still work?

We’ll transfer your details across to MasterCard SecureCode so the same details will continue to work. However, you may be asked to set up a new one – but it’ll only take a few seconds. 

I’ve lost my Visa card. Can I still use my new MasterCard?

You can use your new MasterCard, but it’s important that you report the Visa card as lost.

Will my new MasterCard be accepted at the same places?

You can pay with your MasterCard anywhere where the logo is displayed. Currently MasterCard is accepted in over 38 million locations across the world.

I’ve lost my MasterCard. Can I start using my Visa card again?

Your Visa card will be cancelled shortly after the MasterCard is delivered. You should report the card as lost and wait for a replacement to arrive. 

I’ve got a reoccurring regular transaction set up on my card. Will I need to update this?

You’ll need to update your card details with any organisation that you have regular payments with. These might include insurance companies, internet service providers, television services or website subscriptions.

Will I receive two statements?

No, your Visa transactions will appear on the same statement as your new MasterCard.

Is my limit the same?

Yes, your credit limit is the same.

Will contactless continue to work on the replacement card?

If your card is contactless, you need to make a PIN verified transaction to get up and running with contactless.

Can I view my statement online?

Yes, as long as your administrator allows you cardholder access to Barclaycard Commercial online servicing. Please get in touch with your administrator for details on how to log in, as they’ll need to provide you with a registration code to register at commercial.barclaycard.co.uk
